The problem

Your day disappears into tasks a robot would do.

Sending the same welcome email for the tenth time this week. Reminding tomorrow's customer over WhatsApp. Writing the appointment in the diary, then in the spreadsheet. Sending the post-service survey. Each task is 3 minutes — but it adds up to 2 hours a day that don't get billed.

What's happening today

Endless manual work

  • 1You type "thanks for your appointment" 30 times a month
  • 2You forget to send the reminder → 20% don't show up
  • 3Customer data in spreadsheets, calendar and WhatsApp separately
  • 4Manual resending of invoices, surveys, follow-ups
  • 5The customer goes to the competition because you didn't follow up
What we set up

Flows that run themselves

  • Automatic welcome email when they book
  • WhatsApp reminder 24h and 2h before
  • Post-service follow-up with survey and discount
  • Calendar + CRM + WhatsApp synced
  • Alerts: customer hasn't been back in 60 days
Why it matters

Every repetitive task is money you leave behind.

It isn't about saving time "in general" — it's very concrete: how many no-shows you have a month, how many customers you win back, how many billable hours you lose to admin tasks.

2h Lost per day

2 hours a day on repetitive admin tasks in appointment-based businesses. 40 hours a month — a full working week thrown away.

75% Fewer no-shows

Automatic reminders 24h+2h cut no-shows from 20% to 5%. For a salon with 40 appointments/week = 6 saved per week.

3× Auto rebooking

A "time to come back" email 30 days later triples the rebooking rate vs waiting for the customer to remember.

Two tracks

Start with what hurts most today.

You don't need to automate everything on day one. If you've never automated anything, start with Track A · Operations. If you already have lots of customers and they slip away, jump to Track B · CRM + Anti no-shows. The two can be combined later.

Track A · Operations

The basics that save 1h a day

Welcome · Post-service · Surveys

For businesses still doing everything by hand and only needing the essential flows running on their own. Quick setup, immediate result — the first month you already feel the free time.

  • Welcome email when a customer books or signs up
  • Immediate confirmation by WhatsApp + email
  • Post-service message with survey + review request
  • Monthly email to lapsed customers ("we miss you")
  • WhatsApp templates ready to reply in 1 click
  • Connection with your calendar (Google, iCloud, Outlook)
Track B · CRM + Anti no-shows

Full system with data

Calendar · CRM · Reminders · Alerts

For businesses with volume where a lost customer or a no-show costs real money. Lightweight CRM (not Salesforce) that centralises data, calendar and communication in one place.

  • Everything in Track A
  • Lightweight CRM with customer profile · history · notes
  • 24h and 2h reminder with 1-click confirmation
  • Real-time sync calendar ↔ CRM ↔ WhatsApp
  • Alert to you when a customer hasn't returned in 60+ days
  • Monthly report: no-shows, rebookings, customers at risk
How it works

Three steps. Live in a week.

No code, no "new systems to learn". We use the tools you already have (WhatsApp, Google Calendar, Stripe) and connect them.

01

Mapping

45-min brief: what tasks you do by hand each day, where customers slip away, what tools you already use. You walk away with a map of the 5-8 flows we'll automate.

Days 1 — 2
02

Build

We configure the flows, connect the tools, write the copy with you (so it sounds like your business, not a robot). Preview before going live.

Days 3 — 5
03

Go-live

We switch the flows on. 30-min training over video so you understand how to edit copy and turn things off if you want. First-month support included.

Days 6 — 7
Pricing

One-off payment. No monthly lock-in.

You pay once, the flows are yours. We don't sell software with a subscription — we sell the setup. The tools running underneath (WhatsApp, calendar, etc.) are already yours or are free.

Questions

What people usually ask us.

What tools do you use underneath?
Depends on the flow: for email we use Brevo or Mailchimp (free plan up to 500 contacts), for WhatsApp your Business account (free), for lightweight CRM we use NocoDB or Airtable (free up to a certain volume), for connecting everything Make.com or n8n. No expensive hidden licences — and everything we set up stays yours, not ours.
What if I want to change the copy later?
You do it in 30 seconds. The copy lives in editable templates — open, change, save. In the 30-min training we show you exactly how. If you want to add new flows down the line, we charge per flow (€60-120 each) — without paying the full setup again.
Can they sound "robotic"?
Only if the copy is bad — and we write it with you in a dedicated session so it sounds like you. We use your name, your tone, the way you say hi. The difference between "Dear customer, we acknowledge your booking" and "Hi María! Your Thursday 5pm appointment is booked, see you then" is the difference between robot and person.
Is it legal to send all those messages?
Yes, everything we set up is GDPR-compliant. Operational messages (confirmation, reminder) are contract execution — they don't need explicit consent. Marketing emails (newsletter, promo) do — we include opt-in on first contact and unsubscribe in every email. We deliver a privacy policy adapted to your sector.
What if I already have a system and want to plug it in?
Great. If you already use Booking, Treatwell, Holded, Quaderno, etc. — we plug those in instead of building a new one. In the initial brief we look at what you have and decide. Automation doesn't mean changing software — it means the software you already have talking to the rest.

Let the robot do the robot work.

You focus on what you charge for: cutting hair, giving advice, looking after the customer face-to-face. The welcome email, the reminder, the follow-up — that's the system's job.
